Your exhibition stand

Your exhibition date

The ALPHA startup package includes one exhibition day during the event. Previous startups feedback has told us their experience and ROI is maximised by one day exhibiting and being able to attend meetings, workshops and content on the other days.

Your exhibition date will be circulated to you on Friday, June 12. You will be assigned either Tuesday June 23, Wednesday June 24 or Thursday June 25 to exhibit.

Exhibiting day cannot be requested.

Your stand render

Your exhibition stand will be ready when you arrive at the venue. The stand will have an ethernet cable, exhibition board and two power sockets. Setting up your stand on your exhibiting day

Exhibitors can access their stand from 7.30am on the morning of their assigned exhibition day. The venue will be open at 8am for all other attendees.

What do I need to bring?

Your exhibition stand and printed exhibition board will be waiting for you on your assigned exhibition day. We encourage startups to get creative and capture attendees’ attention. Aside from promotional material and business cards, you are welcome to bring freebies, swag or small company mascots.

Screen rental

Display screens for your booth will be available to order in the weeks closer to the event. If ordered, you will need to pick up your 27″ LED HDMI screen from the startup info point on your exhibiting day. You can also bring your own screen provided it is 27” or smaller.

Important: To rent a screen you must enter your four-digit ticket reference, which can be found in your ticket package.

How to stand out

There are lots of ways to stand out on the exhibition floor.

Team: Consider wearing matching t-shirts with your company logo and name clearly visible.

Your market: Think about your target market and whether you want to focus on building the brand. Do you want to connect with all attendees, or focus on a particular type?

Material: Quirky, fun and useful freebies can be really effective in making your company stand out. These can range from leaflets detailing your product to branded merchandise such as pens, USB keys or stickers. Try to be original! Get your team together to brainstorm ideas for distinctive merchandise.

What should I not bring?

We have provided some examples of prohibited items below. This is not a fully comprehensive list, so if you have marketing materials that you are unsure about, please contact your startup success manager. We will make decisions on a case-by-case basis. If you arrive with items considered unsuitable, you will be asked to remove them from your stand.

Prohibited items and actions include:

  • Customisation of the board – we do not allow any customisation of your board (such as large stickers, writing on it with markers etc.)
  • Bringing your own printed board – we will provide your printed board on your exhibiting day. You are not permitted to bring your own.
  • Pop-up or pull-up banners and other large marketing items.
  • Balloons.
  • Furniture items.
  • Food and drink for distribution.
  • Flashing lights, fairy lights.
  • Confetti, tinsel, umbrellas.
  • Loud audio.

Anything we deem a possible obstruction, eyesore or noise pollutant anything that could negatively impact attendee experience at the event will not be allowed. Please speak with your startup success manager to address any queries.  

Waste

Stands must be left empty at the end of the day. It is essential that you and your team take all remaining marketing materials with you at the end of your exhibiting day. Please do not leave rubbish in or around your stand, recycling and waste bins will be provided across the exhibition floor to dispose of anything you don’t need.

Web Summit is an environmentally conscious organisation which promotes a paperless event, where possible. As an attendee, you undertake not to distribute promotional materials or similar items save where a Litter Charge has been agreed with our express prior written consent. Minimum Litter Charge €5,000. Any attendee wishing to distribute promotional material or similar items should e-mail accountsreceivable@websummit.com to arrange invoicing and payment in advance of the event. All funds will be donated to a local Community / Environmental Fund of our choosing.

Demoing your product

This is allowed provided it doesn’t impact your stand neighbour or other attendees. If your product requires demo space you will need to submit a demo here closer to the time of the event. This will be assessed on a case by case basis and we will do our very best to accommodate where possible. You will not be allowed to demo a large product without approval from your startup success manager.

Anti-harassment policy
All exhibitors are required to abide by our anti-harassment policy.
Wifi

Wifi access is provided. Our wifi network is suitable for all attendees, but we cannot rule out connectivity issues, so we recommend ensuring offline access to material. Please note that Wifi hotspots and network tethering are strictly prohibited.
